Overview

Running an academic event often means stitching together a conference tool, a journal portal, a plagiarism-checker subscription and a reviewer spreadsheet. ReviewPilot replaces all of that with one platform, one login and one bill.

Conferences, workshops, rolling journals and edited volumes (Springer or Elsevier style) run on the same engine: submissions, reviewer matching, peer review, decisions and the program. AI steps in where it saves time (semantic matching, integrity checks, metadata pre-fill); every AI feature is optional and priced per use.

ReviewPilot is in production with universities in Tunisia and Saudi Arabia: SMARTECH 2025 at MUST University (Tunis), SusTAIN 2026 at Prince Mugrin University (Madinah) and two edited volumes published by Springer.

The problem

Assigning the right reviewers, spotting conflicts of interest and tracking hundreds of submissions makes running a conference heavy work.

The AI solution

ReviewPilot matches reviewers to papers, detects conflicts, extracts metadata and supports review writing. It automates 80% of workflows.

Key figures

  • 500+ active users
  • 50+ conferences
  • 1000+ papers reviewed
  • 80% of workflows automated
  • 100 free submissions on every event
  • $0.50 per submission beyond that

How it works

  1. Create the event

Sign up online, no credit card; the event is ready in under ten minutes, with a multi-track call for papers.

  2. Collect submissions

Structured forms and a bilingual English and Arabic interface; metadata is pre-filled from the PDF, then checked by the author.

  3. Match reviewers

Embedding-based matching suggests the right reviewers in seconds, and integrity checks run on every submission.

  4. Review and decide

Four-step review forms, rebuttal, meta-review, decision states and bulk-mail templates.

  5. Publish the program

Auto-scheduled sessions, conflict-free tracks and a printable booklet generated in one click from accepted papers.
